Webics is looking for a Trainee Receptionist / Office Assistant to support our delivery team. This role is available immediately and will see you complete a Certificate III in Business.
You will be required to provide one-on-one support and a varied role in the office to support the existing team.
- Greeting clients coming into the office
- Answering incoming calls
- Email/Support Ticket management (responding, triaging & actioning)
- On-boarding new clients
- Invoicing and payment reminders
- Preparing proposals and quotes
- Project support
- Diary management, scheduling appointments and booking meetings
- General office support such as ordering supplies
- Tidying kitchen, washing dishes and emptying bins
- Running errands
- Making outbound calls to clients for feedback and check-ins
- Miscellaneous tasks to support the team such as organising refreshments
Requirements

- Running weekly scrum meetings
- Assigning HR resources to projects
- Managing project delivery timelines and scheduling sub tasks

- Reviewing and delegating support tickets
- Ensuring support ticket SLAs are being metÂ
- Implementing project delivery best practices
- Assisting with preparing quotes and proposals
- Delegating follow up tasks to the administration assistant
- Ensuring client revision rounds are stuck to and avoiding scope creep
- Keeping the delivery team on track
- People person with a high level of emotional intelligence and empathy
- Minimum 3 years of experience in a similar roleÂ
- Excellent stakeholder engagement skills
- Exceptional attention to detailÂ
- Strong IT background is preferable
- Ability to work to tight deadlines across a variety of locations and time zones
- Understanding of agile project management methodologies
- Ability to multitask and manage 20+ projects at once
- Experience working in large and complex enterprise scale project environments
- Confident and capable working in a solo capacity as the SME for clients who are often unfamiliar with the tools and technologies involved
- Strong interpersonal and written communication skills
- Experience using Jira, Sprints and Story Points
- Website Development, Design and/or Digital Marketing experience
